SUMMARY OF SERVICES

ADMINISTRATIVE & INFORMATION FUNCTIONS

bullet    Prepare and mail proxies & ballots in accordance with the legal documents
bullet    Post and/or mail all such notices required by the association documents.
bullet    Maintain a database of homeowner calls, work and service orders.
bullet    Record changes of ownership upon receipt documentation.
bullet    Maintain complete records and files for the association.
bullet    Maintain individual unit files.
bullet    Maintain a current list of owners in the association.
bullet    All correspondence to owners.
bullet    Customized newsletters.

SUPERVISORY FUNCTIONS

bullet    Bid/Contractor analysis and recommendations.
bullet    Assist the Board of Directors in preparation of specifications for bidding.
bullet    Assist in supervision of contract performance.
bullet    Establish and maintain liaison with contractors for all work on the common area.
bullet    Report to the Board of Directors on the status of contracts/maintenance.
bullet    Assist the Board of Directors in obtaining the appropriate insurance coverage.
bullet    Provide site inspections of the common area.
bullet    Maintain relations with owners and respond to request for services.
bullet    Assist the Board in preparing the annual budget.
bullet    Prepare and present all reports on the operation of the association.
bullet    Attend all board meetings.

ADVISORY FUNCTIONS

bullet    Reserve requirements and funding analyses.
bullet    Insurance coverage bids and contracts.
bullet    Major repair logistics and consultant bids/selection.
bullet    Association legal documents.

FINANCIAL FUNCTIONS

bullet    Pay all bills authorized by the Board of Directors.
bullet    Prepare and submit all necessary reports to government agencies.
bullet    Prepare all 1099 forms and reports necessary for vendors of the association.
bullet    Contract payment processing and lien releases.
bullet    Assessment collections on delinquent accounts.
bullet    Maintain all financial records of the association and its members.
bullet    Assist in making the association records available to the association auditors.
bullet    Billing services: Monthly statements (or other frequency), coupon books, electronic fund or other specified payment method.

EMERGENCY CUSTOMER SERVICE

bullet    Emergency response to property damage service 24-hours a day, seven days a week.
